This Privacy Policy applies to property owners, tenants, rental applicants, prospective tenants, vendors, contractors, website visitors, and others who interact with RPMS.

Depending on your relationship with RPMS, we may collect personal identification information such as name, mailing and property address, email address, telephone number, date of birth, government-issued identification information, and Social Security number or similar information when required for rental screening or other legitimate business purposes.

We may collect rental application and screening information, including employment and income information, rental history, references, credit and consumer-report information, background and eviction-history information, and other information necessary to determine rental eligibility.

We may collect financial information such as bank account or payment information, rental payments and account balances, owner distributions, security deposit information, invoices, transaction history, and tax-related information when applicable. Payment information may be processed through third-party payment processors and property-management platforms. RPMS may not directly store complete credit or debit card information.

We may also collect lease and occupancy information, maintenance requests and work orders, inspection information, property photographs and documentation, communications, and records relating to rent, utilities, deposits, maintenance, notices, and other property-management activities.

When you use our website or electronic services, certain information may be collected automatically, including IP address, browser type, device information, pages visited, referring website, and similar usage information. Cookies and similar technologies may also be used to operate and improve our website.

2. How We Use Information

RPMS does not sell personal information for monetary compensation.

We may disclose information when reasonably necessary to operate our business or provide property-management services, including to property owners and authorized representatives; rental screening and consumer-reporting providers; payment processors and financial institutions; property-management and accounting software providers; maintenance vendors and contractors; insurance and utility providers; housing authorities and government agencies; attorneys, accountants and auditors; law enforcement and courts when required or permitted by law; and other parties when authorized or directed by the individual concerned.

We may provide vendors and service providers with information reasonably necessary to perform services on our behalf.

4. Rental Applications and Consumer Reports

When permitted by law and authorized by the applicant, RPMS may obtain credit reports, background reports, eviction records, rental-history information, or other consumer reports in connection with a rental application. Such information is used for legitimate rental-screening and property-management purposes and is handled in accordance with applicable federal and state laws, including the Fair Credit Reporting Act where applicable.

5. Text Messages, Email, and Telephone Communications

If you provide RPMS with a telephone number or email address, we may use that information to communicate with you regarding rental applications, leases, payments, maintenance, inspections, property-management services, available properties, account matters, and other legitimate business purposes.

Where required, marketing or automated communications will be sent only with appropriate consent. Consent to receive marketing communications is not a condition of renting a property or purchasing property-management services. You may request to stop receiving marketing communications at any time. Transactional, legal, lease-related, maintenance, payment, or other service communications may continue when necessary.

6. Cookies and Website Technologies

Our website may use cookies, analytics services, and similar technologies to operate the website, understand website usage, improve performance, and support our business operations. Your browser may allow you to block or delete cookies. Disabling certain cookies may affect website functionality.

7. Data Security

Third-party websites and services may maintain their own privacy policies and security practices. RPMS is not responsible for the privacy practices of independently operated third-party websites or services.

10. Children's Privacy

RPMS's website and services are not directed toward children under 13, and we do not knowingly collect personal information directly from children under 13 through our website. Information concerning minors residing at a managed property may be collected when reasonably necessary for legitimate leasing, occupancy, emergency-contact, or property-management purposes and as permitted by law.

11. Legal Disclosures
